How to create and maintain a user

The first user created for an account has the status of Administrator and can modify user data at all levels.

Each account has one administrator. An account can have multiple users.

The administrator can:

  • manage other users’ details;
  • access all tasks, and discussions; and
  • assign cases to individual users within your organisation.

 

Create or maintain a user

Only an administrator can create or amend users for their organisation.

1. To create a user:

  • Select the Members tab then Add. User Edition fields will display.

  • Complete the User Edition fields and Save.

  • The user will be listed and an Info box will display advising that an email will be sent to the user with an activation code. Select OK to close the box.

2. View or change the details and status of a user

Administrators can view and change the details and status of all users.

To view and change user details and the status of a user:

  • Select the Members tab and Edit link for the corresponding user. The User Edition fields display for that user.

  • Make the required changes. To change the status of the user to valid or invalid check the Is Valid checkbox.
  • Select Save then Submit. The information will be updated.

Note – to resend an activation code where an account is at Pending activation status, select Resend activation code.

3. Allocate a case to a user

Administrators can allocate a case from one user to another.

To allocate a case:

  • Select the Delegate Case Contact tab
  • Search for a case or cases using the Keyword or Advanced Search. An Advanced Search allows you to search for cases to delegate by case number, case contact (external user in charge), case type and more.

    Result: A list of cases that match your search criteria will display.

  • Select the cases you would like delegate then Delegate case(s). The Select user window will open.

  • In the Select user window search for the user or select the user from the user list then Select.

  • The Contact Details will be updated with the user’s name.
