Pre-register for our new case management system

The new case management system for trade marks and designs, due for release on 13 February 2012, introduces a new account logon for trade mark and design services.

IPONZ has established a pre-registration period for current users which provides an opportunity to create a logon and link to existing records that have been migrated to the new system. Pre-registration will reduce any administrative delays in processing transactions and ensure a smooth transition.

The pre-registration period ends on 31 January 2012. We strongly encourage you to pre-register now so you are ready to start using our new system.

How do I pre-register?

To pre-register you must have:

1. An igovt logon

The igovt logon service is a government-run service that allows you to use the same logon to access all participating New Zealand government agencies, such as Companies Office, Financial Service Providers Register, Department of Internal Affairs, New Zealand Police, and New Zealand Transport Agency.

If you already have an igovt logon, you can utilise this same logon with the IPONZ website when pre-registering.

2. Received a pre-registration email from us.

The current administrator for your organisation’s account will receive an email detailing the process prior to receiving the pre-registration email notification. Once the administrator pre-registers, an email will be issued to other users within the organisation to activate their accounts.

If you have not already pre-registered, you should have received another reminder email from us on 11 January 2012. The last reminder is planned for distribution after 24 January 2012.

Can I start using the new system before 13 February 2012?

No – pre-registration only provides for account logon so you cannot start using the new system until it goes live on 13 February 2012.

Will I still need my old logon for patent online services? 

Yes - you will need to continue using your existing nine digit user-id for patent online services until the patent implementation is rolled out in mid-2012. The new logon only replaces your existing 9 digit user ID for trade marks and designs.

Is the new IPONZ account structure for trade marks and designs different?

Yes – there are two key differences.

Firstly, each new account can only have one administrator. The administrator’s email address will serve as the main email address for your organisation. The administrator can:

• manage other users’ details, especially during the pre-registration period by sending out activation codes;
• access all tasks, and discussions;
• assign case(s) to individual users within your organisation; and
• manage payments for the account.

Secondly, the branch structure has been removed. Our current system has a three tier account structure:

1. organisation,
2. branch (offices); and
3. individual users.

The new system simplifies this to a two-tier structure by removing branches. This allows us to improve the functionality between an organisation and its users. We have migrated all users to the organisation level for the new system.
